Job Reply Pty Ltd (ACN: 701 429 290) trading as Job Reply ("Job Reply", "we", "us", "our"). (ABN: 69 701 429 290) operates the Job Reply service, including the website at https://jobreply.com.au and the associated SMS/AI receptionist and booking system (together, the "Service"). This Privacy Policy explains how we collect, use, hold and disclose personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
By using the Service whether as a tradesperson subscribing to JobReply, or as a customer texting or booking a job through Jobreply on a tradesperson's behalf — you agree to the collection and use of information as described in this policy.
1. Who this policy applies to
Job Reply is used by two types of people:
● Tradespeople ('sub) — businesses who sign up for Job Reply to manage missed calls and
bookings.
● Customers — members of the public who call a Subscriber, receive an automated text response,
and may book a job or appointment through the Job Reply SMS conversation.
This policy covers personal information we collect about both groups.
2. Personal information we collect
From customers:
● Mobile phone number (from the missed call and subsequent SMS conversation).
● Name, and any details you provide about the job you want done (e.g. type of work, address,
description of the issue).
● The content of your SMS conversation with the JobReply AI receptionist.
● If you book an appointment: your selected date, time slot, and any details needed to confirm the
booking.
From tradespeople (Subscribers)
● Business and contact details (name, business name, email, phone number, address).
● Account and billing information (processed via our payment provider).
● Calendar data accessed via your connected calendar (Google Calendar or Microsoft Outlook
Calendar integration — see section 4 below) — this includes existing appointment times needed
to determine availability, and new bookings Job Reply creates on your behalf.
● Call forwarding and call log metadata needed to operate the missed-call text-back feature.
Automatically collected
● Basic website usage data if you visit jobreply.com.au (via our website host, highlevel)
3. How we collect personal information
We collect personal information directly from customers via SMS conversation, directly from Subscribers when they sign up and connect their calendar, and automatically through the Service's normal operation (e.g. call forwarding metadata, calendar sync).
4. Calendar integration and Google user data
Job Reply integrates with Google Calendar and/or Microsoft Outlook Calendar so that, with a Subscriber's authorisation, it can check the Subscriber's existing appointments and create new calendar events when a customer books a slot.
AI processing of scheduling information: To generate SMS responses, Job Reply may send limited calendar-derived scheduling information, such as available appointment date and time slots, together with relevant SMS conversation context to Anthropic's commercial API. Job Reply does not use Google Calendar date to train, improve, or develop general-purpose or foundational AI or machine learning models. Anthropic's commercial API policy states that API inputs and outputs are not used to train its models by default.
Limited Use disclosure: Job Reply's use and transfer of information received from Google APIs will adhere
to the Google API Services User Data Policy, including the Limited Use requirements.
In practice, this means:
● We only request the minimum calendar scopes needed to check availability and create/update bookings.
● We do not use Google user data for advertising, and we do not sell Google user data.
● We do not allow humans to read Google user data unless: (a) we have the Subscriber's affirmative consent for a specific support issue, (b) it is necessary for security purposes, (c) it is
necessary to comply with applicable law, or (d) the data has been aggregated and de-identified.
● Calendar data is used solely to provide the availability-checking and booking features of the Service.
A Subscriber may revoke Job Reply's access to their connected calendar at any time via their Google
Account permissions (myaccount.google.com/permissions) or Microsoft account app permissions, or by disconnecting the integration within JobReply.

Where this occurs, we take reasonable steps to ensure these providers handle personal information consistently with the Australian Privacy Principles.
